We plan the tenant, identities and collaboration services before deployment begins. We agree the document structure, access policies and device management arrangements appropriate to the licences available and the scope of the project being carried out.

Every business needs a different configuration. Some want to improve email with Exchange Online. Others need to organise files in SharePoint and OneDrive. Others want to manage devices with Intune, protect endpoints with Defender or centralise identity through Microsoft Entra ID, according to the requirements of their environment.

At Kloudeal, we approach Microsoft 365 as a connected environment. We review users, domains, licences, groups, mailboxes, permissions, devices, security, files, Teams, SharePoint, OneDrive, access policies, data protection and the assistance users need to adopt the services included in the project.

Azure AD is now called Microsoft Entra ID. AD Connect is now addressed through Microsoft Entra Connect Sync where on-premises identities need to be synchronised with Microsoft Entra ID as part of a hybrid identity environment.

  • Exchange Online and Outlook: business email, mailboxes, aliases, calendars, contacts and shared mailboxes within the agreed implementation scope.
  • Microsoft Entra ID: users, groups, cloud identity, authentication, permissions and secure access to the resources used by the organisation.
  • Microsoft Entra Connect Sync: synchronisation of identities from on-premises Active Directory where this is required by the existing environment.
  • SharePoint and OneDrive: document management, libraries, team files, personal working files and the permissions that govern access to them.
  • Microsoft Teams: teams, channels, meetings, chat, files, collaboration and the organisation of the spaces used for daily work.
  • Microsoft Intune: management of devices and applications, compliance policies and secure access to corporate resources where the service is included.
  • Microsoft Defender: protection of endpoints, email, identities and applications against threats, according to the licences and service scope.
  • Microsoft Purview: compliance, information protection, data governance, auditing and the management of the document lifecycle within the agreed scope.

Microsoft 365 is often considered when a business wants to modernise email, improve collaboration, centralise files, support remote working, reduce disconnected tools or strengthen the protection of devices, users and data across its technology environment.

It is also a common requirement for businesses using older email servers, local shared folders, scattered accounts, unclear permissions, tools that are not integrated or devices that access corporate information without a defined policy governing that access.

A properly planned implementation helps organise users, protect access, structure documents, improve internal communication, administer devices and enable the team to use Outlook, Teams, OneDrive, SharePoint and Microsoft 365 applications in a consistent way.

Identity is the foundation of Microsoft 365. Before deploying services, we review users, groups, domains, licences, administrative roles, authentication and security, and establish whether the business needs cloud identity or synchronisation from an on-premises Active Directory environment.

Where on-premises Active Directory is present and hybrid identity is required, we can assess Microsoft Entra Connect Sync for synchronising users and groups with Microsoft Entra ID. This needs careful planning to avoid duplicate accounts, attribute errors, authentication problems and conflicts with users that already exist in the cloud environment.

For email, we configure Exchange Online, domains, DNS records, mailboxes, aliases, shared mailboxes, distribution lists, rules, calendars, contacts and access through Outlook or mobile devices. We also review SPF, DKIM, DMARC and email security policies where these activities are included in the project scope.

A common mistake when implementing Microsoft 365 is to enable Teams, OneDrive and SharePoint without first defining how documents should be organised. The result is often duplicated information, unclear permissions, unnecessary teams and users who do not know where they should save each type of file.

At Kloudeal, we design the collaboration structure before deploying it. We define which data belongs in OneDrive, which documents should be organised in SharePoint, which teams will be created in Teams, who will own each working area, which permissions each group will have and how external access will be managed.

Teams is closely connected to SharePoint: files shown in a team’s Files tab are stored in a SharePoint site. Teams and SharePoint should therefore be designed as parts of the same environment, with a coordinated structure and permissions model, rather than treated as separate tools.

Microsoft 365 can also help improve the security of users, devices, email, applications and data. The configuration depends on the licences held by the organisation and the level of protection required for the environment and services included in the project.

With Microsoft Intune we can manage devices and applications, apply compliance policies, configure profiles, protect corporate data and control which devices can access the organisation’s resources, according to the capabilities available and the agreed scope.

With Microsoft Defender we can review threat protection for endpoints, email, identities, applications and other parts of the Microsoft environment. With Microsoft Purview we can assess information protection, compliance, auditing, retention, eDiscovery and data lifecycle requirements where these areas form part of the project being undertaken.

We can also configure multifactor authentication, Conditional Access, administrative roles, security policies, email protection, device reviews and working practices intended to reduce risk while supporting the organisation’s everyday operations.

Implementation is organised into the following phases. The activities, dependencies and checks for each stage are defined within the scope agreed for the project and the environment involved.

  1. Assessment: review of users, domains, email, files, devices, security requirements and the licences available for the implementation.
  2. Design: Microsoft 365 services, user structure, permissions, collaboration, security arrangements and the phases of deployment.
  3. Tenant preparation: domains, DNS, licences, roles, users, groups and the baseline configuration required by the project.
  4. Exchange Online: mailboxes, aliases, calendars, shared mailboxes, distribution lists and the email protection settings included in the scope.
  5. SharePoint, OneDrive and Teams: document structure, teams, channels, libraries, permissions and the arrangements for external access.
  6. Intune and devices: enrolment, policies, applications, compliance and secure access where these capabilities are included and applicable.
  7. Defender and security: endpoint, email and identity protection, alerts and configuration according to the licences available and the agreed requirements.
  8. Validation: testing with key users, review of access, checks of service operation and assessment of the user experience.
  9. Support and adoption: introductory training, documentation, incident resolution and adjustments following the initial deployment.

Implementation does not end when the services have been enabled. For Microsoft 365 to be useful in daily work, users need to understand where to work, how to share files, when to use Teams, which information belongs in OneDrive, how to access email and which working practices they should follow.

We can assist with initial training, documentation, sessions for key users, internal guidance, support after implementation, incident reviews and configuration adjustments following the first weeks of use, according to the services agreed for the project.

We can also assist the administration team with recommendations on licensing, roles, security, devices, SharePoint structure, the creation of Teams, external permissions, retention and the ongoing maintenance of the environment that has been implemented.

We agree the scope, responsibilities and priorities with your team. We document the work and the checks carried out. Any additional requirement is assessed before it is incorporated into the project or the support service, so that its effect on the agreed work is understood.

It may include configuration of the tenant, domains, users, licences, Exchange Online, Outlook, Teams, SharePoint, OneDrive, Microsoft Entra ID, Intune, Defender, Purview, security, devices, permissions and user support, according to the agreed scope and the capabilities available.

Microsoft provides advanced guidance for planning and deploying tenants, applications and services in its official documentation on Microsoft 365 implementation.

It is the interface administrators use to manage Microsoft 365, including users, licences, configuration, services and administrative tasks within the organisation’s environment and the responsibilities assigned to each administrator.

Microsoft describes it in its official guide to the Microsoft 365 admin centre.

Azure AD was renamed and is now called Microsoft Entra ID. It is Microsoft’s identity and access service for managing users, groups, applications, authentication and permissions within cloud environments used by an organisation.

Microsoft explains the change in its official documentation on Microsoft Entra ID as the new name for Azure AD.

Microsoft Entra Connect Sync synchronises identities from on-premises Active Directory to Microsoft Entra ID in hybrid scenarios where the organisation needs these environments to work together under a defined identity design.

Microsoft documents synchronisation concepts and topologies in its official guide to Microsoft Entra Connect Sync.

It may include domains, DNS records, mailboxes, aliases, shared mailboxes, distribution lists, calendars, contacts, permissions, rules and access from Outlook or mobile devices, depending on the implementation scope agreed with the organisation.

Microsoft describes Exchange Online as a hosted messaging solution for email, calendars, contacts and tasks, with its configuration managed as part of the business environment.

Teams and SharePoint are closely connected. The files shown in a team’s Files tab are stored in a SharePoint site, so the document structure and permissions should be considered as part of a coordinated design.

Microsoft explains this relationship in its official documentation on Teams and connected SharePoint sites.

Yes. We can help design sites, document libraries, permissions, metadata, departmental structures, team working areas and guidance on using the environment, according to the requirements agreed for your organisation.

Before creating sites or libraries, we review how the business works, which documents it manages, which permissions are required and how SharePoint will interact with Teams and OneDrive within the overall collaboration structure.

Microsoft Intune is a cloud-based endpoint management service that allows an organisation to administer and protect its devices and applications within the capabilities provided by its licences and the policies it defines.

Microsoft explains that Intune supports device enrolment, configuration, protection and updates, application deployment and control over which users and devices can access corporate resources in its official documentation on Microsoft Intune.

This depends on the business’s licences and requirements. We can assess protection for endpoints, email, identities and applications, together with security policies, alerts and recommended configuration for the environment within the agreed scope.

Microsoft Defender XDR coordinates detection, prevention, investigation and response across endpoints, identities, email and applications. Further information is available in the official documentation for Microsoft Defender XDR.

Microsoft Purview can assist with data governance, information security, compliance, auditing, retention, eDiscovery and risk management, according to the organisation’s requirements and the capabilities included in its licences.

Microsoft describes Purview as a collection of solutions for data governance, data security and compliance in its official documentation on Microsoft Purview.

Yes. This is often the most suitable approach. We can begin with identity, domains and email, then address collaboration through Teams, SharePoint and OneDrive, followed by security, devices, Defender, Intune or Purview where required.

Working in phases helps reduce risk, validate the changes made and support adoption by users, while giving the organisation clear points at which to review progress and plan the next stage.

Yes. After implementation, we can assist with incidents, adjustments, initial training, documentation, user support, administration, security, permissions, licences and further development of the environment, according to the support scope agreed with your organisation.

We can also periodically review the state of the tenant, opportunities for improvement and new requirements that arise as the business continues to use the services.

Tell us about your current platform, the number of users or resources involved and your priorities. We will review the context to define the next steps and the scope of the proposal for your organisation.
